Information we collect
We may collect information that visitors voluntarily provide through contact, rental inquiry, newsletter, registration, volunteer, and donation forms. Depending on the form or service, this may include a name, email address, phone number, mailing address, organization or church affiliation, message content, registration details, payment information, and other information needed to respond to a request or provide a program.
Camp registration and health-related forms may request information about a child from a parent, legal guardian, or other authorized adult. Those forms are intended to be completed by adults.
Our website and service providers may also collect technical information such as IP address, browser and device type, referring page, pages visited, approximate location, and cookie or similar identifiers.
How we use information
We use information to:
- respond to questions and rental inquiries;
- administer camp registrations, rentals, donations, volunteer activities, and newsletters;
- process and document payments;
- communicate about programs, events, safety, schedules, and organizational updates;
- protect the website, prevent spam and misuse, and troubleshoot technical problems;
- understand website use and improve our programs, communications, and services;
- meet legal, accounting, safety, and recordkeeping obligations.
We do not sell personal information.
Children’s privacy
Lylewood serves children and families, but website forms that request personal information are intended to be completed by a parent, legal guardian, or other authorized adult. Children under 13 should not submit personal information through the website without the involvement of a parent or guardian.
If you believe a child submitted personal information without appropriate adult involvement, contact us at contact@lylewood.org so we can review and, when appropriate, delete the information. Parents and guardians may also contact us to ask about personal information associated with their child.
Cookies and analytics
The website may use cookies or similar technologies for essential operation, security, performance, analytics, and visitor preferences. We currently use WordPress-related services, Jetpack, and Google Analytics to understand website activity. Google Analytics may be configured through Google Site Kit or another approved integration. These services may collect technical information according to their own policies and settings.
Visitors can restrict cookies through their browser settings. Some website functions may not operate as intended when cookies are disabled.
Forms, anti-spam, and email delivery
Information submitted through website forms may be stored in WordPress and sent by email to authorized Lylewood representatives. Form submissions may be checked by anti-spam and security services such as Akismet or Jetpack. Website email is routed through an email-delivery service configured through WP Mail SMTP.
Please do not place Social Security numbers, financial account credentials, or other unnecessary sensitive information in a general contact or rental inquiry message.
Registration, donations, rentals, and other third-party services
Some services are provided on third-party websites. These currently include services such as Active Network for camp registration, Zeffy for donations and newsletter signups, Jotform for rental or organizational forms, Google for analytics, and social platforms such as Facebook and Instagram.
When a visitor follows a link to or submits information through a third-party service, that provider’s privacy policy and terms also apply. Lylewood does not receive complete payment-card information from donation or registration processors unless the provider specifically makes that information available for an authorized purpose.
When we share information
We may share information with authorized board members, volunteers, camp leaders, and service providers when reasonably necessary to operate programs, respond to requests, process transactions, maintain the website, protect safety, or comply with law. We may also disclose information when required by law or when reasonably necessary to protect the rights, safety, and property of campers, families, visitors, Lylewood, or others.
We do not authorize service providers to use information for unrelated purposes, subject to their applicable agreements and privacy policies.
Data retention and security
We retain information only as long as reasonably necessary for the purpose for which it was collected and for applicable safety, legal, accounting, insurance, and recordkeeping needs. Retention periods vary by record type.
We use reasonable administrative and technical measures intended to protect information. No internet transmission or storage system can be guaranteed completely secure.
Your choices and requests
You may unsubscribe from marketing or newsletter emails by using the unsubscribe link in the message or by contacting us. You may also contact us to request access to, correction of, or deletion of personal information associated with you or your child. We may need to verify the identity and authority of the person making the request, and some records may need to be retained for legal, safety, accounting, or operational reasons.
